Terms and Conditions
Choosing to travel with Relax Getaways Pvt. Ltd. means more than booking a trip — it means placing your trust in us to deliver a safe, well-organized, and memorable experience. Whether you're joining us for world’s top trekking in the Everest or Annapurna regions, a cultural and historical tour, an adventure sports package, or a luxury Himalayan getaway, or beach holidays in Maldives and city escapes in Dubai these Terms and Conditions outline the mutual understanding between you and Relax Getaways Pvt. Ltd.
Please read them carefully before confirming your booking, as they govern every trip we arrange on your behalf.
1. Price, Booking & Confirmation
Booking a trip with us is designed to be simple and straightforward. Once you've selected your preferred itinerary — be it a trek, cultural tour, or specialized package such as a helicopter tour — a deposit is required to secure your booking. This initial payment allows us to begin reserving accommodations, guides, permits, and other essential arrangements on your behalf.
Full Payment is required if you make a booking within 30 days of the departure date. If your booking is special offer we may require full payment (Including any pre/ post accommodations and sundry service charges) by such earlier time as specified in the offer.
Offered discounts are subject to availability and may be withdrawn at any time with out notice. All discounts and offer apply to the trip price only and do not apply to any flights, visitor taxes, adventures passes, short breaks stopovers, day trips, pre and post accommodation or transfer.
After you have booked, changes to I) the fuel price of fuel II) the level of taxes or fees imposed by third parties including tourist taxes, landing taxes, or embarkation or disembarkation fees at ports and airports and III) exchange rates, mean that the price of your trip may change. There will be no change within 20 days of your departure. We will absorb any increase equivalent to 2% of the price of your trip. However, we may charge you for the amount over and above that. If this results in an increase equivalent to more than 8% of the price of your trip, you will have the option of accepting a change to another trip (we will refund any price difference if the alternative is of a lower value) or cancelling and receiving a full refund of all monied paid. Should the price of your trip go down due to the cost changes mentioned above, then any refund due will be paid to you. we will deduct from this refund our administrative expenses incurred. Please note that the trip arrangements are not always purchased in local currency and some apparent changes have no impact on the price of your trip due to contractual and other protection in place.
For selected trips with limited availability, such as luxury Everest region packages or helicopter tours, confirmation is subject to space and will be communicated to you promptly once secured.
2. Payment Policies
We aim to keep our payment process clear and convenient. Unless otherwise agreed in writing, the full trip cost must be settled prior to departure. Details of accepted payment methods will be shared with you during the booking process.
Deposit Requirement
A deposit of 10-20% of the total trip cost is required to confirm your booking. This deposit is generally expected within two weeks of expressing interest in a trip. Once received, our team begins finalizing the arrangements for your journey.
Payment Methods
Payments can be made via direct bank transfer or secure online card payment through our payment partner, WeTravel. Card payments carry an additional 4% processing surcharge. For select trip categories — including helicopter tours, and premium tours to Bhutan, and Tibet — full payment is required in advance to allow for the detailed planning these trips require.
Bank Transfers
If you prefer to pay via bank transfer, contact us and we'll provide the relevant account details. After completing your transfer, please email us the transaction receipt or reference number so we can confirm receipt and proceed with your booking and Trip arrangements.
Alternative Payment Methods
Depending on availability, we may also accommodate e-wallet payments, cash payments made locally, or other arrangements. Feel free to discuss the best option for your situation with our Customer Support team.
3. Cancellation by the Traveler
We understand that plans can change, and we've structured our cancellation policy to be as fair as possible while accounting for the advance arrangements travel requires.
-More than 40 days before departure: A full refund is provided , minus the transaction fee if applicable.
-15–30 days before departure: 50% of the total trip cost is retained.
-Less than 15 days before departure: No refund is available.
Please note that certain specialized services — including helicopter tours and destination weddings — may carry their own specific cancellation terms due to the customized nature of these arrangements. These will be communicated at the time of booking.
4. Changes in Itinerary
While we work hard to deliver every trip exactly as planned, Sometimes, natural or political situation of the destination can be unpredictable. Weather conditions, political developments, natural events, or other unforeseen circumstances may require adjustments to your itinerary. In such cases, your safety remains our top priority, and we will do our best to offer suitable alternatives that maintain — or enhance — the value and quality of your original trip.
5. Travel Insurance
Given the range of environments our trips cover, from high-altitude Himalayan trails to the sandy beaches, we strongly recommend that all travelers secure comprehensive travel insurance before departure. Your policy should cover standard travel risks such as trip cancellation and lost luggage, as well as more serious contingencies including medical treatment, emergency evacuation, and unforeseen emergencies. Having adequate coverage in place allows you to travel with greater peace of mind.
6. Health & Fitness
Many of our trips, particularly treks in the Nepal, Bhutan involve physical exertion at altitude and require a reasonable level of fitness. We recommend that all travelers complete a medical check-up and obtain clearance from a physician before joining a trek. Please inform us in advance of any pre-existing medical conditions, allergies, or health concerns so we can take the appropriate precautions and provide suitable support throughout your journey.
7. Respect for Local Customs
Cultural immersion is one of the great rewards of traveling in Asia, and our cultural and historical tours offer close encounters with local traditions, religious practices, and ways of life. We ask all travelers to approach these experiences with sensitivity and respect. Being a considerate guest not only deepens your own travel experience but also supports positive, respectful relationships between visitors and local communities.
8. Travel Documents
Travelers are responsible for ensuring they hold a valid passport, appropriate visas, and any other travel documents required for their trip. We're happy to provide guidance and support where possible, but the responsibility for securing correct and valid documentation rests with the traveler. Relax Getaways Pvt. Ltd. is not liable for any disruption, delay, or additional cost arising from incomplete or invalid travel documents.
9. Liability
Relax Getaways Pvt. Ltd. acts as an organizer and coordinator of your travel services in Asia, including transportation, accommodation, guide, and permits- many of which are provided by third parties (Government authority). While we take great care in selecting reliable partners, we cannot be held responsible for loss, injury, delay, or damage arising from circumstances beyond our reasonable control, including but not limited to natural disasters, political unrest, flight cancellations, or the actions of third-party service providers.
10. Force Majeure
Relax Getaways Pvt. Ltd. shall not be held responsible for any failure to perform its obligations where such failure results from circumstances beyond our reasonable control, including natural disasters, extreme weather, epidemics, political instability, strikes, or government restrictions. In such situations, we will work with travelers to find the most reasonable solution available.
11. Amendments to These Terms
Relax Getaways Pvt. Ltd. reserves the right to update or revise prices and other particulars (including these Terms and Conditions) at any time to reflect changes in our operations or applicable regulations. When you make a booking, we provide with up to date prices and the link to most current version of T&C. It will always be available on our website, and we encourage travelers to review it before booking.
12. Governing Law
These Terms and Conditions are governed by the laws of Nepal. Any disputes arising from bookings or trips with Relax Getaways Pvt. Ltd. will be subject to the jurisdiction of the courts of Nepal.
